Corporate event costs in Alberta vary widely based on four main factors: headcount, venue, catering, and production requirements. Here is a realistic breakdown by event type.
Team building events for 20 to 75 people typically run $5,000 to $25,000. This range covers activity design and facilitation, venue rental or use of company space, catering and refreshments, and basic photography. The lower end uses office space and simple food; the higher end uses an external venue with curated activities and professional documentation.
Corporate celebrations — holiday parties, anniversaries, employee recognition — run $15,000 to $60,000 for 75 to 250 guests. The biggest variables are the venue and the level of catering. A hotel ballroom with plated dinner and open bar adds significant cost compared to a standing-reception format at a leased event space.
Conferences and full-day events for 100 to 300 people typically run $40,000 to $120,000. AV production — sound, screens, lighting, livestreaming — is the largest cost driver after venue and catering. A conference with a professional stage, LED wall, and multi-camera livestream can add $20,000 to $40,000 to the budget on its own.
Industry galas and awards nights are among the most expensive format. A professional gala for 200 to 400 people in Edmonton or Calgary typically runs $60,000 to $200,000. This includes full venue rental, formal catering, staging, lighting production, entertainment, photography, and a dedicated on-site event team.
Grand openings and product launches vary based on whether media and public attendance is involved. A well-produced opening for a corporate office or retail location runs $15,000 to $50,000. Public-facing launches with media, AV, and high-profile guests can exceed $80,000.
Planning and management fees are separate from vendor costs. At One + One Event, we charge a planning fee for our time, strategy, and on-site coordination. Vendor costs are passed through at actual invoice — no markups on catering, AV, or venue. We tell you both numbers in the first conversation.
If your budget is under $10,000, a full-service agency is usually not the right fit for either party. At that level, a freelance coordinator or your internal team will get you further. We will tell you this directly rather than take a project we cannot execute well at that budget.
