How many guests can you accommodate?

We plan events across a wide range of headcounts. The short answer is that there is no fixed limit — the question is whether the venue, vendors, and logistics can be assembled to support the scale you need.

Under 50 guests: team building events, leadership retreats, recognition dinners, and departmental celebrations. At this scale, venue options are flexible and logistics are manageable without a large on-site team.

50 to 200 guests: this is the most common range for our corporate clients. Conferences, galas, grand openings, company celebrations, and awards nights. The logistics at this scale — catering service, AV, registration, on-site coordination — require professional management to run well.

200 to 500 guests: full-scale conferences, large industry galas, and major corporate celebrations. At this headcount, every element needs detailed coordination. AV production scales up, catering logistics become genuinely complex, and registration management requires dedicated staff. This is where the value of an experienced event team is most visible.

500 to 2,000 guests: large-scale conferences and major industry events. This requires significant venue infrastructure, multiple AV technicians, a larger on-site team, and more planning lead time. It is manageable — we have experience at this scale — but it requires an earlier start and more detailed production planning.

For events over 1,000 guests, we would typically spend more time in the planning phase scoping the full production requirements before confirming scope and fees. Events at this scale have too many variables to quote accurately without a detailed brief.

The most important thing at any headcount: the event should be sized to the goals, not the other way around. A 500-person gala that the budget cannot support is a worse outcome than a well-executed 200-person event. We will tell you if we think the headcount and budget are not aligned.
