How far in advance should we book a corporate event?

The most common mistake companies make with event planning is starting too late. Not because the logistics cannot be compressed, but because the options available at 4 weeks are significantly worse than the options available at 12 weeks.

For galas and large conferences (100+ people): start 12 to 16 weeks before your event date. At this lead time, you have access to the full range of venues, vendors, and production options. Premium venues in Edmonton and Calgary book up months in advance, particularly for Friday and Saturday evenings. Waiting until 6 weeks means you are choosing from what is left.

For team building events and department celebrations (under 100 people): 6 to 8 weeks is workable for most formats. At 4 weeks, you can still plan a solid event but your venue and activity options narrow. At 2 weeks, you are in emergency mode and the event will show it.

For grand openings and product launches: 8 to 12 weeks depending on whether media and public attendance is involved. If you need media outreach to be part of the event, build in at least 6 weeks just for that component.

For content creation and commercial production (scripted video, ad campaigns): 6 to 10 weeks depending on the scope. Location scouting, talent casting, and set preparation all take time. Rushing a production creates quality problems that are visible in the final output.

What happens when you start late: venue availability shrinks, preferred vendors may be committed elsewhere, and the planning process becomes reactive instead of strategic. We can often still produce a good event on a compressed timeline — but we will tell you what becomes impossible at each stage.

The best time to reach out is when you have a date in mind and a rough sense of headcount and budget, even if the details are not final. We can start scoping venues and holding dates while the details are being worked out.
