Do you provide venues?

Venue sourcing is one of the most time-consuming parts of event planning, and one of the areas where an experienced agency adds the most value. We handle it as part of every full-service engagement.

The process starts with understanding your requirements: headcount, event format (seated dinner vs. standing reception vs. conference), AV needs, parking requirements, accessibility, and location preferences within Edmonton, Calgary, or elsewhere in Alberta.

We then identify venues that match your criteria, reach out to confirm availability for your dates, and present you with a shortlist — typically two to four options — with a honest assessment of the trade-offs between them. We do not show you every available venue; we show you the ones that actually fit.

Negotiating the venue contract is included in what we do. We understand venue contract terms, know what is negotiable (F&B minimums, setup and teardown hours, AV exclusivity clauses, damage deposits), and will push where there is room to push. Clients who negotiate their own venue contracts often leave value on the table or agree to terms they later wish they had not.

For Edmonton specifically, we have working relationships with most of the major hotel ballrooms, standalone event venues, and outdoor spaces in the city. For Calgary, we work with venues across the downtown core and event district. We also source venues in Red Deer, Fort McMurray, and other Alberta communities when events are held outside the two major cities.

If you already have a venue in mind or have already secured one, we work with it. Venue sourcing is not mandatory — it is part of the service if you need it.
