How long does it take to plan a corporate event?
Most corporate events need 6 to 16 weeks of planning lead time. Galas and large conferences need the most runway; team building events can often be planned in 4 to 6 weeks.
Planning timelines vary by event type, headcount, and how specific your venue and vendor requirements are. Here is a realistic guide by format.
Team building events and small celebrations (under 75 people): 4 to 8 weeks. These are the most flexible. If you are open to available venues and do not have specific vendor requirements, 4 weeks is workable. The main constraint is venue availability — popular activity venues book up on Fridays and weekends.
Corporate conferences and multi-session events (100 to 300 people): 8 to 12 weeks. AV production planning, speaker coordination, and catering management for larger headcounts require more lead time. If you need a specific venue or date, add 2 to 4 weeks to secure it.
Industry galas and awards nights: 10 to 16 weeks. This is the format where rushing creates the most problems. Venues for 200+ people book far in advance. Award categories, nomination processes, and MC coordination all take time to do properly. Our best gala work happens at 14 to 16 weeks.
Grand openings and product launches: 6 to 10 weeks. If media attendance is part of the plan, add 2 to 4 weeks for media outreach coordination. Physical venue dressing, signage, and logistics for a public-facing event need more runway than a private corporate event.
What shortens the timeline: flexible venue choice, standard catering formats, no live entertainment requirements, and a clear brief from you in the first meeting. The faster you can make decisions, the faster we can move.
What extends the timeline: a specific venue that may not be available, custom staging or production design, a large headcount with complex dietary requirements, or a date that falls during a busy season in Edmonton or Calgary (holiday season, major sporting events, major conferences).
We can work on compressed timelines when needed. We will tell you upfront what becomes impossible at a given lead time rather than take the project and deliver a diminished event.
