Awards Gala Timeline
An awards gala needs 20–24 weeks from first brief to event day. The nominations process has to run before the event can be fully produced around it. Here is the full timeline.
The nominations timeline is the constraint that drives everything else. Nominations need to be open for 4–6 weeks to get meaningful participation. Judging takes 2–3 weeks. That is 8–10 weeks minimum for the nominations process alone — before a single production decision is made.
For first-year events, add 4 weeks to everything. Building the nominations framework, the judging criteria, and the categories takes more time than expected when starting from scratch.

Weeks 24–20
- Define award categories and eligibility rules
- Set nominations open and close dates
- Confirm judging panel
- Set event date
- Begin venue search
- Build sponsorship package
Weeks 20–16
- Confirm venue and sign contract
- Open nominations to industry
- Begin AV supplier selection
- Approach MC and entertainment
- Launch sponsorship outreach
Weeks 16–12
- Close nominations
- Send nominations to judging panel
- Confirm MC and entertainment
- Confirm AV supplier and production design
- Confirm photographer and videographer
- Begin ticket and table sales
Weeks 12–8
- Judging panel returns decisions — winners sealed
- Produce winner reveal graphics and sizzle videos
- Confirm catering and menu
- Brief MC on program and tone
- Confirm all sponsor deliverables
- Confirm trophy or award production
Weeks 8–4
- Finalize seating plan by company and table
- Deliver all AV content for testing
- Final RSVP and headcount to venue
- Complete run-of-show with all time cues
Week of event and post-event
- Full AV technical rehearsal
- MC walkthrough on stage with timing cues
- Announce winners publicly after event
- Distribute photography to nominees and sponsors
- Debrief with organizing committee
Common questions
The nominations process and the venue/supplier logistics can run in parallel. The production — sizzle videos, winner reveal graphics, run-of-show — cannot be finalized until winners are confirmed. That is why judging needs to close by week 12 at the latest: it gives 12 weeks for production.
