Awards Gala Checklist

An industry awards gala has more moving parts than most events: nominations, judging, guest management, AV production, entertainment, and a live program that must run on time. Here is the full checklist in sequence.


Awards nights fail for three reasons: the nominations process was not managed well (so the awards do not feel credible), the AV production was underbudgeted (so the room does not feel professional), or the program ran over time (so guests disengaged before the evening ended). The checklist below addresses all three.

For events with 150+ guests, the venue search should begin 20–24 weeks before the event. Hotel ballrooms in Edmonton and Calgary book quickly for Saturday evenings in fall and spring — the peak season for industry events.

24 weeks before

  • Define award categories and eligibility criteria
  • Set nomination period dates
  • Establish judging panel and confirm availability
  • Set event date and begin venue search
  • Brief planning agency
  • Draft sponsorship package

16–20 weeks before

  • Open nominations to industry
  • Confirm venue and sign contract
  • Begin AV supplier selection and production design
  • Approach entertainment and MC candidates
  • Launch sponsorship outreach
  • Confirm photography and videography

10–16 weeks before

  • Close nominations and send to judging panel
  • Confirm AV supplier and production plan
  • Confirm MC and entertainment
  • Confirm sponsor commitments
  • Build preliminary run-of-show
  • Begin table sponsorship and ticket sales

6–10 weeks before

  • Judging panel returns results — seal until event night
  • Produce sizzle videos and winner reveal graphics
  • Confirm catering and menu selections
  • Brief MC on program and tone
  • Confirm all sponsor deliverables
  • Confirm trophy or award production

2–6 weeks before

  • Confirm final guest count and provide to venue
  • Finalize seating plan by company and table
  • Deliver all AV content to production team for testing
  • Confirm load-in schedule with venue and AV supplier
  • Finalize run-of-show with all time cues

Day of event

  • Full AV technical rehearsal with all screens and audio
  • MC walkthrough of run-of-show with stage marks
  • Venue setup and décor complete before guests arrive
  • Briefing with on-site team on contingencies and timing
  • Guest registration open 60 minutes before program

Post-event

  • Announce winners via social media and press release
  • Distribute photography to nominees and sponsors
  • Send post-event survey to attendees
  • Settle all supplier invoices
  • Debrief with organizing committee on what to improve next year

Common questions
