AV production is the element of awards gala planning where cutting corners is most visible and most damaging. A gala where the sound drops during an award presentation, where the graphics are misaligned with the award categories, or where the stage lighting is uneven creates a production-failure story that overshadows everything else. The right AV setup is not complicated — but it requires specific equipment, a technical rehearsal, and a crew that has done this before.
What a professional awards gala AV setup requires:
Sound A wireless handheld or lapel microphone for the emcee, backup microphone available at all times, podium microphone for award presenters who are not comfortable with handheld, playback system for video content and music with levels properly mixed relative to speech, and a front-of-house engineer managing the board throughout the program. For a room of 200–300 people, distributed speakers ensure even coverage without feedback. For larger rooms, additional delay speakers may be required.
Lighting Stage wash lighting in a colour appropriate for the event brand (not the venue's default house lighting, which is usually wrong for a gala), key lighting on the podium so presenters and winners are well-lit for photography, audience work lighting that allows people to read programs and move safely during the event, and lighting for the award display table. Moving lights and programmed cues can be added for a higher-production look; these are optional but significantly elevate the visual quality of the event.
Screens and graphics At minimum, two flanking screens displaying the award category name and the winner's name as awards are presented. Slides for each award category, prepared in advance with correct spelling of nominees and winners, operated by a technician with a clear cue sheet and sight lines to the emcee. Video playback capability for tribute videos, highlight reels, or sponsor content. For high-production galas, a confidence monitor for the emcee visible from the stage without being visible to the audience.
Technical rehearsal The single most important investment in AV production is a technical rehearsal in the venue before doors open. Every video file played, every microphone tested, every slide transition verified. Galas that skip the technical rehearsal almost always encounter at least one AV issue during the live program.
Common questions
Basic AV for a 200-person gala — sound, simple stage lighting, two screens — runs $8,000–$14,000 in Edmonton. A higher-production setup with moving lights, multiple screens, video switching, and a full AV crew runs $15,000–$30,000 or more. The right scope depends on the room size, the program complexity, and the production expectations of the audience. Industry galas where attendees are accustomed to high-production events require higher investment than company-internal awards nights.
