Corporate Event Timeline Template

A timeline is different from a checklist. A checklist tells you what to do. A timeline tells you when to do it — and more importantly, what depends on what. These dependencies are where most events run into problems. Book the venue before you confirm the date, and you may be locked into a space that does not work. Confirm catering before the headcount is final, and you will be renegotiating close to the event.


14–16 Weeks Out

Define event objectives and success criteria Establish working budget including contingency Set the event date (check holidays, major local events, key stakeholder availability) Begin venue search Identify the planning team and decision-maker

10–14 Weeks Out

Confirm venue shortlist and begin venue visits Negotiate and sign venue contract Identify key vendors: AV, catering, entertainment, photography If awards ceremony: establish award categories and open nominations Begin sponsor outreach if applicable Set RSVP deadline date (working backward from catering cutoff)

8–10 Weeks Out

Issue save-the-dates or preliminary invitations Shortlist and brief AV vendors Shortlist and brief catering vendors Confirm entertainment requirements and begin outreach Confirm photography and videography requirements Draft event run of show (first version) If awards: close nominations and begin judging process

6–8 Weeks Out

Sign AV vendor contract Sign catering contract and confirm menu structure Sign entertainment contracts Sign photography and videography contracts Send formal invitations with RSVP deadline Establish dietary collection process If awards: finalize winners (at least 2 weeks before announcement to allow production of materials)

4–6 Weeks Out

Track RSVPs against headcount projection Begin collecting dietary requirements Order branded materials: signage, badges, programs Confirm venue layout and AV equipment positions Confirm parking and transportation logistics Update run of show with confirmed timings Brief MC or host on event format and any sensitive content

2–4 Weeks Out

Close RSVPs and confirm final headcount Submit final headcount to caterer Submit final dietary list to caterer Conduct site visit with production team Share updated run of show with all vendors Confirm all vendor arrival and setup windows Print all physical materials

1 Week Out

Final headcount and seating confirmation Final check of all vendor confirmations Confirm contingency plan if weather is a factor Prepare day-of emergency contacts document Brief all on-site team members on their roles Confirm AV tech rehearsal time

Event Day

Arrive before first vendor Supervise venue setup against production brief Complete AV tech check before guest arrival Brief catering team on service timing Run event against the production schedule Manage deviations — stay ahead of the timeline, not behind it

Post-Event (1–2 Weeks After)

Confirm photo and video delivery with vendor Review and approve all vendor invoices Send acknowledgements to speakers, sponsors, and entertainment Close out event budget (actuals vs. planned) Conduct internal debrief Document vendor contacts and performance notes for future reference

This timeline assumes a large format event (gala, conference, major celebration) with a full vendor set. For smaller events, compress the earlier stages but maintain the 1 to 2 week buffer before the event day — this is the period where last-minute changes happen and you need bandwidth to handle them.
