Opening Ceremony Checklist

A grand opening ceremony has fewer moving parts than a gala but tighter timing constraints. Officials have rigid schedules. Media have specific windows. Here is the full checklist to make sure nothing is missed.


The biggest risk in opening ceremony planning is timing. If an elected official is attending, the ceremony must start on time — their schedule does not flex. If media are invited, the ribbon cut must happen at a predetermined moment that works for their deadlines and camera operators. Both constraints need to be built into the run-of-show early.

For ceremonies without officials or media, the checklist is simpler. But even for a 75-person soft opening, the sequence below will prevent the most common day-of problems.

Opening ceremony planning checklist

8–10 weeks before

  • Set the event date — confirm against official and VIP availability first
  • Define the format — formal ceremony, experiential open house, or both
  • Establish guest list and confirm invitation list
  • Brief planning agency
  • Begin AV and sound assessment for the space
  • Draft media strategy if media attendance is planned

5–8 weeks before

  • Confirm official and VIP attendance — coordinate with their offices directly
  • Book photographer and/or videographer
  • Confirm catering format — reception style, food stations, or formal service
  • Issue media advisory if applicable
  • Draft run-of-show and speech order
  • Order ribbon, scissors, and ceremonial elements

2–5 weeks before

  • Send formal invitations to guests
  • Confirm all VIP logistics — arrival time, parking, briefing
  • Confirm AV requirements — PA system, microphone setup, screen if needed
  • Confirm catering logistics — arrival, setup, service timing
  • Brief all speakers on timing and content
  • Confirm signage and branding elements

Week of event

  • Final RSVP count to caterer
  • Venue walkthrough — confirm AV placement, power access, guest flow
  • Prepare on-site briefing document — run-of-show, contact list, timing
  • Confirm media contact and send location details
  • Confirm VIP arrival logistics with their offices

Day of event

  • AV and catering setup complete before guests arrive
  • Photographer briefed on key moments — ribbon cut, official arrivals, crowd shots
  • VIPs greeted and briefed on program sequence on arrival
  • Media escorted to designated positions before ceremony
  • Run-of-show executed on time — do not delay for latecomers

Post-event

  • Send photography to media who attended
  • Publish event photos and social media recap
  • Follow up with VIPs and officials with thank-you notes
  • Share photos and recap with guests

Common questions

Contact the official's constituency office or scheduler directly — not the main public office line. Provide a clear description of the event, why it is community-relevant, the date, time, and expected duration of the official's attendance. Four to six weeks' notice is minimum; eight weeks is better for a Mayor's office schedule.
