How Many People Should You Invite to a Grand Opening?
Invite as many as your space and catering budget can support, prioritizing: employees first, key clients and partners second, community and media third. A full room signals success; an underpopulated event signals the opposite.
For the space itself: allow 1.5–2 square metres per person for a standing reception, more if guests will be moving through the facility on a tour. Overcrowding creates fire code risk and a negative guest experience. Under-populating a large space creates the impression that few people wanted to attend.
The RSVP-to-attendance ratio for Alberta business events is typically 60–70% — expect 30–40% of people who RSVP yes to not attend. Build your invitation list with that ratio in mind: if you want 100 people at the event, invite 150.
