How Far in Advance Should You Book a Conference Venue?
For a full-day conference with 100+ attendees in Edmonton or Calgary: 12–16 weeks minimum. For events in September, October, or May — peak conference season — 20–24 weeks. Hotel conference facilities book up for full-day weekday events in fall faster than most organizers expect.
The venue determines the date, which determines the speaker and facilitator availability, which determines the program. This dependency means venue selection is the first logistical decision, not one that can wait until the program is confirmed.
For events at the Edmonton Convention Centre or any venue requiring a contract and deposit: 16 weeks minimum, 20 weeks preferred for peak-season dates. For smaller venues (hotel meeting rooms, smaller conference centres) on weekdays outside peak season: 8–10 weeks is usually sufficient.
Common questions
September, October, and May. These months combine ideal weather (motivating attendance), the end of summer and the spring ramp-up (which motivate learning investment), and the school year calendar (relevant for organizations with employees who have school-age children). January–March is the lowest-demand period and often offers the best venue pricing.
