Corporate Event Timeline

Corporate events in Edmonton need 6–24 weeks of planning time depending on format and scale. Here is a reference timeline by event type and what cannot be moved.


The items that cannot be done in parallel — they must happen in sequence: venue before AV (AV is specced to the room), AV before content (production is built on the confirmed technical setup), catering before seating plan (final numbers needed), venue before date (date flows from venue availability). Lock the venue first and everything else follows.

For events with officials or media, add 4 weeks to the beginning of any timeline. Getting external parties confirmed takes longer than confirming suppliers.

Planning timelines by event type

Gala or awards night — 20 to 24 weeks

  • Weeks 24–20: Concept, budget, agency briefing, venue search
  • Weeks 20–16: Venue confirmed, AV selected, MC and entertainment approached
  • Weeks 16–12: All major suppliers confirmed, invitations sent
  • Weeks 12–8: Program finalized, production content in progress
  • Weeks 8–4: Final guest count, content delivered, seating confirmed
  • Weeks 4–1: Final run-of-show, supplier briefings, contingency plans confirmed

Team building event — 6 to 10 weeks

  • Weeks 10–8: Format chosen, facilitator confirmed, venue booked
  • Weeks 8–6: Catering confirmed, invitations sent
  • Weeks 6–4: Run-of-show drafted, logistics confirmed
  • Weeks 4–1: Final headcount, day-of briefings confirmed

Opening ceremony — 6 to 12 weeks

  • Weeks 12–8: Date confirmed with officials, format set, photographer booked
  • Weeks 8–6: Guest invitations, AV confirmed, media advisory issued
  • Weeks 6–4: Run-of-show, VIP logistics, catering confirmed
  • Weeks 4–1: Final RSVP, on-site briefing document prepared

Corporate workshop — 5 to 10 weeks

  • Weeks 10–8: Objective defined, facilitator confirmed
  • Weeks 8–6: Venue, AV, catering confirmed
  • Weeks 6–4: Attendees confirmed, pre-reading distributed
  • Weeks 4–1: Final headcount, room setup, day-of logistics confirmed
