Corporate Event Budget

Most corporate event budgets are wrong before planning starts — not because the number is too low, but because the list of line items is incomplete. Here is how to build a realistic budget from the first conversation.


A corporate event budget has two parts: the cost of the event itself (venue, catering, AV, entertainment, photography, décor) and the cost of planning and coordinating it (agency fee). At most budget levels, the agency fee is 12–18% of total event cost. For a $60,000 event, that is $7,200–$10,800. For a $150,000 event, that is $18,000–$27,000.

The items most commonly missing from initial budgets: AV (consistently underestimated), catering service charges (typically 18–22% added by the venue on top of menu pricing), photographer (often forgotten until weeks before the event when availability is limited), and contingency (10% minimum — events cost more than the initial scope because decisions made during planning add up).

Common questions

10% minimum. 15% if the event is complex, has a lot of moving parts, or is your first time running something at this scale. Contingency is not waste — it is the budget that covers decisions made during planning that add cost beyond the initial scope. Every event has them.
