Planning a company anniversary event involves roughly 40 decisions. Here they are in order, with timing. Miss any of the 16-week items and your options narrow significantly.


The most common anniversary planning failure is starting too late. At 8 weeks out, hotel ballrooms are often booked for your preferred date, AV suppliers have limited weekend availability, and good photographers are committed. At 16 weeks, everything is available and you have room to make thoughtful decisions.

The checklist below assumes a 150-person milestone event (25, 50, or 100-year anniversary). Smaller events can compress the timeline but the sequence of decisions stays the same.

20–24 weeks before

  • Define the goal — employee celebration, client acknowledgment, community milestone, or all three
  • Decide on the audience — employees only, or multi-audience (clients, partners, family)
  • Establish the budget range
  • Choose the event format — formal gala, dinner, reception, or multi-part event
  • Brief the planning agency
  • Begin venue search — hotel ballrooms book 4–6 months ahead for Saturday evenings

16–20 weeks before

  • Confirm venue and sign venue contract
  • Confirm date and build master timeline
  • Commission history video or archival production if applicable (8–12 weeks to produce)
  • Begin AV supplier selection and get production quote
  • Identify entertainment and MC candidates
  • Draft guest list

10–16 weeks before

  • Confirm AV supplier and sign contract
  • Confirm entertainment and MC
  • Book photographer and/or videographer
  • Confirm catering format (plated, buffet, stations) and preliminary menu
  • Begin invitation design and send save-the-date
  • Draft program and run-of-show

6–10 weeks before

  • Send formal invitations
  • Confirm décor concept and supplier
  • Finalize program — speakers, order of events, timing
  • Brief all speakers and presenters
  • Confirm final AV production requirements
  • Commission any custom signage or branded elements

2–6 weeks before

  • Confirm RSVP count and provide to venue
  • Finalize seating plan if applicable
  • Confirm all supplier logistics — load-in times, parking, access
  • Prepare briefing documents for MC and speakers
  • Complete final run-of-show with all suppliers
  • Confirm contingency plans — weather, AV backup, dietary requirements

Week of event

  • Final venue walkthrough with AV team
  • Confirm all suppliers on call and arrival times
  • Prepare on-site event kit — run-of-show, contact list, dietary list, AV cues
  • Confirm photography brief with photographer

Post-event

  • Send thank-you communications to guests
  • Collect and distribute photography
  • Gather team feedback
  • Close all vendor accounts and review final invoices

Yes, but your venue options will be limited, and the production will reflect the shorter runway. For a 10-year anniversary with 50 guests and no multimedia production, 10–12 weeks is achievable.
