The challenge
The network's annual conference had grown significantly over five years — from a one-day event with 180 attendees to a two-day event with 380. The planning process had not kept pace with the growth. Their internal team was managing logistics that required professional production coordination, and small failures — late starts, AV issues in breakout rooms, catering service that ran into session time — had been accumulating for two years.
Our approach
- We came in as a production partner rather than replacing their internal team. Their coordinator stayed involved for all internal communications and content coordination. We took ownership of vendor management, AV, catering logistics, and the production schedule.
- The AV setup required a different approach for the plenary and 14 breakout rooms. We spec'd a central AV control point with dedicated tech support per floor, which eliminated the previous issue of AV problems going unresolved during sessions.
- Catering for a two-day conference with 380 attendees across multiple dietary requirements required a more detailed brief than the venue's standard event package. We worked with the venue's F&B team three weeks before the event to build a service plan that did not pull staff away from setup tasks during the transition from morning sessions to lunch.
- Speaker briefings were sent 10 days before the event with a required confirmation. Three of the 22 speakers had not confirmed AV formats — slide dimensions, clicker preference, confidence monitor requirements — in previous years. The briefing process resolved all of this before the event day.
Outcome
- —Both conference days started within two minutes of schedule. The previous year's event had started 22 minutes late on day one.
- —No AV failures during any of the 14 breakout sessions across both days.
- —Post-event attendee satisfaction scores increased from 72 percent to 89 percent across all production-related categories.
- —The gala dinner on the second evening — a new addition to the program — received the highest satisfaction score of any single event element.
